Job Overview

A leading firm in the Commercial Real Estate sector is seeking a dedicated Operations Coordinator to join their team. This role is essential for ensuring smooth administrative functions within the property management division.

Key Responsibilities:
  • Manage incoming phone inquiries
  • Handle Accounts Payable and Receivable tasks
  • Oversee and process Tenant Maintenance Requests
  • Assist tenants and vendors with inquiries and payment processing
  • Support the development, documentation, and maintenance of operational processes
  • Input all payables into the management software
  • Draft and manage General Service Contracts and their tracking
  • Administer the security access system
  • Order supplies such as locks and safety equipment
  • Provide exceptional customer service to tenants
  • Coordinate tenant engagement events
  • Track insurance documentation for tenants and vendors
  • Maintain utility usage records
  • Sort and distribute daily correspondence
  • Complete additional tasks as required
Qualifications:
  • Strong understanding of Commercial Real Estate principles
  • Proficient in Microsoft Office Suite, Adobe, and SharePoint
  • Outstanding written and verbal communication abilities
  • Exceptional organizational skills
  • Familiarity with Yardi Breeze software is a plus
  • Willingness to learn new proprietary systems
Education and Experience:
  • Bachelor's degree from an accredited institution
  • 2-5 years of experience in Commercial Real Estate administration
