Position Overview: The Records Management Supervisor is responsible for leading the daily functions of the Records Division within the Police Department. This role involves planning, organizing, and implementing policies and procedures that align with the legal standards of the State of Washington and the City of Mercer Island.

Key Responsibilities:

  • Supervise and evaluate the performance of Records Division personnel.
  • Identify training needs and schedule necessary training sessions for staff.
  • Act as the Public Records Officer, managing public disclosure activities related to police records.
  • Conduct inquiries into various data banks to verify driving records, vehicle registrations, and criminal history.
  • Prepare essential documentation, including court packets and case reports.
  • Process and maintain police reports, warrants, and citations, ensuring proper routing to relevant personnel.
  • Perform quality control checks on police records, ensuring accuracy and compliance with data standards.
  • Manage the processing of firearm licenses and transfers in accordance with legal requirements.
  • Provide professional assistance to officers and the public through various communication channels.
  • Support police staff with data research and the intake of found property.
  • Assist in conducting internal audits of the Records Section.
  • Fulfill the duties of Terminal Access Coordinator (TAC).
  • Oversee inventory control for Records Division equipment and supplies.
  • Other related duties as assigned.

Supervisory Duties:

  • Evaluate work methods and collaborate with staff to resolve issues.
  • Monitor workloads and identify areas for improvement.
  • Select, train, and motivate personnel, addressing performance deficiencies as needed.
  • Participate in the development and management of the Division budget.

Qualifications:

  • Must be at least 21 years of age.
  • High school diploma or GED required.
  • Minimum of two years of experience in police records management.
  • Ability to pass a comprehensive background investigation.
  • Certification as a Certified Public Records Officer (CPRO) is required within the first year of employment.
  • Valid driver's license with a clean driving record.
  • Completion of NIMS ICS-100, 200, 700, and 800 training within the first six months of employment.

Knowledge, Skills, and Abilities:

  • Familiarity with police records management systems.
  • Understanding of data collection, storage, and dissemination in law enforcement.
  • Knowledge of public disclosure laws and records retention policies.
  • Proficient in Microsoft Office applications, particularly Word and Excel.
  • Strong organizational and customer service skills.
  • Ability to communicate effectively, both orally and in writing.
  • Capable of managing multiple tasks and prioritizing effectively.
  • Ability to maintain confidentiality and handle sensitive information.

This position requires the ability to work in a dynamic environment, manage interruptions, and establish effective working relationships across diverse groups.
