Job Overview

Join Our Team is looking for a meticulous and organized Purchasing and Receiving Coordinator to oversee the acquisition and reception of supplies and materials within our Maintenance Department. This position plays a crucial role in managing the procurement operations across multiple locations, which includes:

  • Receiving purchase requests from technicians in the field.

  • Organizing payments and invoices for the finance team.
  • Managing inventory storage.

Qualifications

  • Must be at least 18 years old.
  • High School Diploma or equivalent required.
  • A Bachelor's degree in business administration, supply chain management, or a related field is preferred.
  • Minimum of 2 years experience in purchasing, procurement, or inventory management.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with purchasing and inventory software (e.g., SAP, Oracle, or similar).

Key Responsibilities

Procurement:

  • Work closely with field technicians and location managers to assess and fulfill purchasing requirements.
  • Research and evaluate suppliers based on cost, quality, service, and reliability.
  • Prepare and issue purchase orders, ensuring they are accurate and complete.
  • Track orders to guarantee timely delivery.
  • Maintain supplier relationships and address any issues regarding delays, shortages, or quality concerns.
  • Keep precise records of purchases, pricing, and inventory levels.

Receiving:

  • Coordinate the receipt of goods and materials, ensuring they align with purchase orders and packing slips.
  • Inspect and verify the quantity and quality of received items.
  • Document any discrepancies, damages, or returns with suppliers.
  • Ensure proper storage and organization of received goods.
  • Update inventory management systems with received items.
  • Communicate with relevant departments regarding the status of received goods.

Inventory Management:

  • Assist in maintaining accurate inventory levels and conducting regular stock audits.
  • Monitor inventory to identify when replenishment is necessary.
  • Implement and uphold inventory control systems to optimize stock levels and minimize waste.

Administrative Support:

  • Maintain accurate records of all purchasing and receiving transactions.
  • Assist in preparing reports on purchasing activities, cost savings, and supplier performance.
  • Support the Department Director in budgeting and forecasting for procurement activities.
  • Handle administrative tasks such as filing, data entry, and vendor communication.

Compliance:

  • Ensure all purchasing and receiving activities adhere to company policies and regulations.
  • Stay informed about market trends and industry best practices in procurement.

Position Type/Expected Hours of Work

This is a part-time role requiring an average commitment of hours per week. Workdays and hours will be established at the time of hire, with shifts occurring between Monday and Friday, 8 AM - 6 PM. This position involves a combination of on-site and remote work.

Work Environment

This role is primarily office-based, with occasional interactions on-site and in storage/warehouse areas. Standard office equipment such as computers, tablets, phones, photocopiers, filing cabinets, and scanners will be used regularly. Candidates must be comfortable working with various software and information systems. The position may involve frequent engagement with different types of fitness equipment and exposure to varying noise levels.

Coordinators at Join Our Team should have a high level of energy and the capacity to engage in moderate physical activity. While most tasks are office-based, some hands-on activities may require the ability to lift or move up to 25 lbs.

Travel Requirements

This position may involve moderate travel. The individual will be expected to travel between locations as job duties require. While travel is primarily local during business hours, some out-of-area and overnight travel may be necessary.
