Job Description

Vida Real Estate is seeking an experienced Real Estate Coordinator to join our team. This role will be responsible for assisting our high-level executive with administrative duties, such as making travel arrangements, overseeing itineraries, answering phone calls, and managing office filing systems.

About the Role

The ideal candidate will have experience in real estate or a similar administrative support role and possess strong organizational skills, with the ability to juggle multiple tasks and meet deadlines. You will also be responsible for coordinating with vendors and service providers to ensure smooth service delivery, scheduling and managing closing dates, and providing weekly listing updates to clients and internal team members.

Responsibilities

  • Assist with transaction coordination, managing timelines, and ensuring all deadlines are met.
  • Communicate regularly with clients, agents, and other parties involved in transactions to provide status updates and resolve any issues that arise.
  • Manage listing and showing appointments, ensuring proper documentation and scheduling for optimal team productivity.
  • Maintain the team's CRM system, inputting client information and tracking deal progress to ensure nothing falls through the cracks.
  • Collaborate with marketing teams to execute marketing strategies for listings, including social media posts, listing photography, and flyers.
  • Prepare and process contracts, disclosures, and other transactional documents with high attention to accuracy.
  • Coordinate with vendors and service providers to ensure smooth service delivery.
  • Schedule and manage closing dates, preparing closing gifts and documents for final handoff to clients.
  • Provide weekly listing updates to clients and internal team members to keep everyone informed of progress.

Requirements

  • Experience in real estate or a similar administrative support role.
  • Strong organizational skills with the ability to juggle multiple tasks and meet deadlines.
  • Exceptional communication and interpersonal skills, with a focus on delivering outstanding client service.
  • Detail-oriented with excellent problem-solving skills and the ability to anticipate challenges.
  • Proficiency in MLS systems, real estate software, and CRM tools is a plus.
  • Ability to work both independently and as part of a team in a fast-paced environment.
  • A high school diploma or equivalent is required.
  • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar.
  • Experience using Microsoft Office.
  • Experience handling confidential information and adhering to strict deadlines.

Estimated Salary: $60,000 - $75,000 per year, depending on experience.
