Role: Administrative Coordinator

Department: Airport Minority Advisory Council

Division: Facilities Management

Salary: $64,668.00

This role is essential for ensuring smooth administrative operations within the department.

Key Responsibilities
  • Provide comprehensive administrative support to enhance departmental functions.
  • Organize and facilitate management activities and meetings.
  • Serve as a communication bridge for critical departmental matters.
  • Act as a representative for management during meetings and field assignments.
  • Prepare reports and correspondence utilizing office technology.
  • Implement organizational procedures to maintain efficient office operations.
  • Manage visitor and call screening, ensuring appropriate communication flow.
  • Oversee the calendar of senior management, coordinating appointments and meeting logistics.
  • Prepare briefing materials for management meetings.
  • Relay information and directives from senior management to staff, providing updates as necessary.
  • Summarize incoming communications and requests requiring management attention.
  • Handle dictation and transcription, along with note-taking during meetings.
  • Review and prepare correspondence for management signatures.
  • Maintain confidentiality of sensitive information and files.
  • Coordinate travel arrangements and manage reimbursement documentation.
  • Exhibit flexibility in work hours, including potential weekend availability.
  • Communicate with various stakeholders on project statuses and critical issues.
  • Participate in special projects and assignments as directed by management.
  • Create PowerPoint presentations and visual materials as needed.
  • Utilize MS Word and Excel for documentation and data management.
  • Follow up on action items from meetings and outstanding tasks.
Qualifications

Minimum Requirements: A bachelor's degree in business administration, public administration, or a related field, complemented by at least one year of relevant administrative experience, or an equivalent combination of education and experience.

Note: Candidates must successfully pass a background check and security assessment.

Selection Process: Candidates will undergo an interview process that includes a written assessment. The most qualified candidates will be selected based on their performance.
