We are seeking a highly skilled Department Support Specialist to join our team at Village Management Services, Inc. in Laguna Woods Village.

About the Role:

  • This is an exciting opportunity to work with our approximately 1,000 employees who provide a wide variety of services to our residents and maintain the community infrastructure.
  • You will be responsible for performing a variety of clerical and specialized office tasks related to the department, including composing correspondence, typing reports, and preparing special reports.
  • Your duties will also include coordinating departmental functions, participating in budget preparation, maintaining complex filing systems, and relaying complex instructions and messages.
  • In addition, you will coordinate purchase requisitions, process invoices, maintain appointment schedules, screen callers, and provide detailed responses to information requests about programs and activities.
  • Other responsibilities may include assisting with the preparation and distribution of agendas and supporting materials for boards and committees, contacting members, transcribing and distributing minutes, and planning sponsorship programs.
  • You will also provide communication to office and facility staff about meetings, trainings, special projects, and events, and may train staff on company and department policies and procedures.
  • This role requires strong organizational and time management skills, as well as excellent communication and interpersonal skills.
  • A valid California driver's license is required for this position.

Requirements:

  • Graduation from high school, including or supplemented by courses in business science.
  • Considerable experience in business and general clerical work or equivalent combination of education and experience.
  • Knowledge of modern office equipment, practices, systems, and procedures.
  • Ability to take notes and transcribe them rapidly and accurately.
  • Ability to maintain complex records and prepare reports and answer questions from records.
  • Ability to compose correspondence and read, understand, interpret, and explain rules and regulations.
  • Ability to relate to the needs and concerns of senior citizens.
  • Ability to maintain effective working relationships with co-workers, the public, and deal with public relations problems courteously and tactfully.
