Job Overview

Position Summary: The Service Coordination Specialist is responsible for managing service requests while effectively scheduling and optimizing the workflow for Service Technicians who handle maintenance and repairs of Print, Copy, Scan, and Fax Equipment for our clientele. Comprehensive training will be provided.

Key Responsibilities:

  • Respond to incoming inquiries from customers regarding service and repair needs, utilizing effective questioning techniques to gather necessary information for service call ticket creation.
  • Input the gathered information into our E-Automate software system.
  • Allocate the appropriate service technician to each service ticket.
  • Procure any required parts as requested by technicians to facilitate repairs.
  • Monitor and track the progress of technicians and repairs throughout the operational day.
  • Ensure that service tickets contain accurate closure details, parts usage, customer meter readings, and correct billing codes for invoicing before finalization.
  • Engage and communicate with customers, service technicians, and colleagues in a courteous, positive, and professional manner.
  • Deliver exceptional customer service and ensure follow-through on all service requests.

Qualifications:

  • A minimum of 2 years of experience in a dynamic, customer-focused environment.
  • Previous experience in a dispatch or service-related role is preferred.
  • Strong customer service and communication skills are essential.
  • Ability to manage multiple tasks, troubleshoot issues, and think independently.
  • Basic computer proficiency is required, along with a willingness to learn new software applications.
  • A high school diploma is mandatory; an associate or bachelor's degree is advantageous.
  • Must maintain a professional demeanor at all times.
  • Successful completion of a background check and drug screening is required.
