Role Overview:

We are seeking a Supply Chain Coordinator and Sales Support Specialist to become an integral part of our US operations in Florida. This position is not managerial but requires a self-sufficient, responsible, and motivated individual.

In this role, you will be essential to our operations, liaising with Distributors, Dealers, Customers, Partners, and team members. You will serve as the crucial link between our US team and our headquarters in New Zealand, playing a vital role in our company's growth.

Your daily responsibilities will encompass a diverse range of tasks, including operations, logistics, sales support, merchandising, and customer relationship management, making you the primary point of contact for our US staff and partners.

Key Responsibilities:

Your main duties will include:

  • Operations & Logistics Administration (60%):
    • Receiving Purchase Orders and sending Order confirmations to customers.
    • Inputting orders into D365 and processing customer orders from booking to invoicing.
    • Managing sales orders and shipments through the Customer's portal when necessary.
    • Providing tracking information for outbound shipments to customers.
    • Following up with customers regarding payments.
    • Monitoring and controlling inventory at a detailed level in the 3PL warehouse via ERP (Microsoft Dynamics 365).
    • Ensuring reconciliation between system and physical stock.
    • Obtaining freight rates for outbound orders.
    • Reviewing invoices from third-party logistics providers.
    • Preparing Dangerous Goods certificates for export shipments.
    • Coordinating inbound inventory from New Zealand to the USA.
  • Sales Support (40%):
    • Assisting the USA sales team with administrative tasks.
    • Coordinating procurement and shipping of merchandising materials.
    • Booking and organizing events and shows.
    • Managing merchandise in the 3PL (USA).

Qualifications:

To thrive in this role, candidates should possess:

  • A minimum of 3 years of experience in business administration and supply chain management.
  • Proficiency in customer relationship management.
  • Experience with an ERP system, preferably Microsoft Dynamics D365.
  • Knowledge or willingness to learn about Dangerous Goods shipping.
  • Excellent verbal and written communication skills with a focus on responsiveness.
  • Advanced skills in Microsoft Word and Excel.
  • A proactive and entrepreneurial mindset, committed to fostering a positive work culture.
