Position Overview:
We are seeking a dynamic and proactive Office Operations Coordinator to enhance the daily operations of our New York office. This role is essential in ensuring a welcoming environment for clients and guests while supporting our operations team.
Key Responsibilities:
Client Engagement:
Act as the primary point of contact for clients and visitors, ensuring their needs are addressed promptly and professionally.
Operational Collaboration:
Work closely with the operations team to implement and refine processes that support the firm's infrastructure.
Calendar Management:
Coordinate meetings, meals, and communications using various scheduling tools, including Outlook and Zoom. Prepare detailed agendas and keep track of upcoming events and tasks.
Meeting Coordination:
Serve as the liaison for internal teams and clients in organizing meetings, ensuring all logistical aspects are managed effectively.
Event Planning:
Assist in organizing internal events that foster company culture, such as team-building activities and social gatherings.
Administrative Support:
Provide light calendar management, expense tracking, and travel arrangements for executives as needed. Act as a backup for administrative support when required.
Qualifications:
- Bachelor's degree from an accredited institution.
- 1-3 years of experience in an administrative role.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Strong written and verbal communication skills.
- Highly organized with a keen attention to detail.
- Self-motivated and capable of taking initiative.
- Ability to work collaboratively in a team-oriented environment.
