Position Overview: The Legal Support Specialist role encompasses a variety of essential legal and administrative tasks aimed at ensuring smooth operations within the firm.

Key Responsibilities:

  • Manage the telephone switchboard to effectively answer, screen, and direct calls, while providing pertinent information and scheduling appointments.
  • Welcome visitors to the office, assess the purpose of their visit, and guide them to the appropriate personnel or location.
  • Draft and prepare legal documents, correspondence, and forms based on dictation or written instructions, including summons, subpoenas, motions, and agreements.
  • Oversee the proofreading, mailing, and faxing of legal documents, ensuring timely delivery to clients, witnesses, and court officials.
  • Maintain consistent communication through internal and external phone and email correspondence.
  • Prepare electronic filing documents in compliance with court requirements, verify necessary fees, and follow up to ensure acceptance by the court.
  • Document and keep track of court-specific electronic filing requirements, including associated rules and fees.
  • Review the status of files, incoming mail, and court dockets daily to determine the next steps and update the case management system accordingly.
  • Handle daily tasks generated by the case management system efficiently.

Qualifications:

  • Strong written and verbal communication skills.
  • Detail-oriented with excellent organizational abilities.
  • Ability to manage a high volume of work effectively.
  • Capable of multitasking as required.

Education and Experience:

  • High school diploma or equivalent.
  • Preferred: Paralegal certification and/or experience in a law firm setting.
  • Basic to intermediate proficiency in Microsoft Word and Excel.
