Role Overview:

The Mailroom Operations Specialist is essential in upholding the facility's standards while managing all designated mailroom responsibilities. Additionally, this role includes providing support to the front desk during periods of absence, ensuring uninterrupted operations.

Key Responsibilities:

  • Execute daily tasks as assigned by the Facilities Supervisor.
  • Oversee building upkeep and the procurement of necessary supplies.
  • Work in conjunction with the Facilities Coordinator to ensure timely maintenance of the premises.
  • Conduct regular inspections to evaluate the completion of work orders and initiate new ones as required.
  • Respond swiftly to all maintenance requests and communications.
  • Assist in the management of conference room maintenance, scheduling, and usage.
  • Perform daily checks of critical systems within conference rooms.
  • Support the front desk during breaks and maintain the reception area.
  • Carry out additional tasks as directed by the Facilities Supervisor.

Qualifications:

  • A college degree or equivalent experience in facilities management is preferred.
  • Strong verbal and written communication abilities are essential.
  • Capability to work autonomously and provide timely updates to the Facilities Supervisor.
  • Commitment to customer service and operational excellence.
  • Skilled in driving operational outcomes and coordinating service delivery.
  • Efficient execution of tasks with strong organizational skills.
  • Prior experience with operations and maintenance budget management is advantageous.
  • A valid driver's license is required.
