Department Coordinator

We are seeking a highly organized and detail-oriented Department Coordinator to join our team at the University of Arizona. This role will provide critical support to the Department of Internal Medicine, ensuring the smooth operation of faculty life cycles, departmental activities, and administrative tasks.
Key Responsibilities- Coordinate the initial faculty title process, including application submission and finalization in UAccess and internal faculty databases.
- Manage employment verification, faculty status changes, and track switches, 2nd/joint/cross title requests, required visa paperwork, and UA employment updates.
- Coordinate the promotion and/or tenure process for existing faculty, from dossier submission to sending to the college-level review.
- Communicate with applicants and faculty regarding the process, needed documents, timelines, and questions.
- Assist in data entry of resident/fellow titles for assigned departments.
- Coordinate faculty annual reviews for College- and BUMG-employed faculty.
- Coordinate department AP&T committee activities, including scheduling, preparing dossiers, documenting meeting outcomes, and formal correspondence to the College AP&T Committee.
- Coordinate department faculty meetings, as needed, including scheduling events, creating and sending invites, communicating with speakers, and compiling and finalizing PowerPoint presentations.
- Coordinate the annual verification of involvement for faculty within assigned departments.
- Collect and organize institutional or college records related to assigned tasks.
- Assist with other projects and initiatives, as needed, to ensure effective support of the academic mission of the College and assigned departments.
- Bachelor's degree or equivalent advanced learning attained through professional-level experience required.
- Minimum of three (3) years of relevant work experience, or equivalent combination of education and work experience.
The University of Arizona offers a competitive salary range of $65,687 - $85,393, depending on experience.
