Position Summary
We are seeking an Administrative Specialist to provide essential support to key personnel within the Space Science & Security Program (SSSP), a vital component of our Intelligence Program. This role is crucial for ensuring the smooth operation of business activities and achieving program objectives. You will play a key role in identifying potential challenges and proposing effective solutions to facilitate project execution. Adaptability and strong organizational skills are essential in this dynamic environment, as well as the ability to communicate effectively with a diverse range of stakeholders.
Key Responsibilities
- Execute a variety of complex administrative tasks, including calendar management, travel arrangements, expense processing, meeting coordination, and compliance with security protocols.
- Serve as a primary contact for multiple program areas, representing senior staff in daily operations and responding to inquiries from all management levels.
- Draft and prepare both classified and unclassified documents, reports, and presentations utilizing data from various sources.
- Independently address and resolve issues of considerable scope and complexity.
- Research and interpret organizational policies and procedures to ensure compliance.
- Perform additional duties as assigned.
Required Qualifications
- Proven experience providing high-quality administrative support in a fast-paced team environment.
- Ability to work independently under tight deadlines and manage multiple priorities effectively.
- Exceptional communication skills for collaboration with a diverse range of individuals and roles.
- Strong organizational skills with meticulous attention to detail.
- Demonstrated problem-solving abilities and sound judgment.
- Proficient in Microsoft Office and other relevant software applications.
- Experience in compiling, tracking, and reporting data and outcomes.
Preferred Qualifications
- Familiarity with LINCS as a TRR or willingness to become a TRR.
- Experience in handling classified information and managing clearance requirements.
- Ability to obtain and maintain security clearance in a Sensitive Compartmented Information (SCI) environment.
- Knowledge of LLNL policies and procedures.
Additional Information
This position requires a Department of Energy (DOE) Q-level clearance and the ability to undergo a Federal background investigation. All employees are subject to random drug testing, and U.S. citizenship is required for Q-level clearance.
