About the Role

Gaudenzia is seeking an experienced Administrative Assistant to join our team. As an Administrative Assistant, you will play a critical role in supporting the smooth operation of our programs.

Key Responsibilities
  • Database Management: Set up and maintain accurate and confidential electronic and paper files in accordance with state and federal regulations.
  • Reporting: Prepare and submit reports as required by the Regional and Corporate Offices, and as directed by the Program Director and/or Administrative Coordinator.
  • File Maintenance: Maintain current, organized database, filing, and reporting systems.
  • Client Communication: Report client changes to funding agencies and maintain organized, accurate systems to record, receive, and disburse client funds, valuables, and facility funds.
  • Community Outreach: Maintain contact with appropriate community resources needed to facilitate care coordination.
  • Communication Systems: Create and implement communication and reporting systems to facilitate thorough communications with the Regional and Corporate Office, funding agencies, and other community resources.
  • Facility Operations: Greet facility visitors, screen clients returning to the facility, answer phone calls, and check facility voicemail daily.
  • IT Support: Complete IT and maintenance tickets to resolve facility issues.
  • Meeting Minutes: Record minutes from facility meetings.
  • Correspondence: Sort, distribute, and prepare facility correspondence, and deliver faxes to appropriate persons.
  • Supply Management: Maintain facility supply inventory, and order new supplies, as needed.
Requirements
  • Education: Minimum of a high school diploma or GED.
  • Experience: At least three (3) years of administrative experience in an office environment.
  • Skills: Excellent customer services and telephone etiquette, ability to communicate effectively verbally and in writing, ability to establish and maintain effective working relationships with clients, other staff members, outside agencies/institutions, and the general public.
  • Knowledge: Knowledge of office and clerical functions, Microsoft Word and Excel, system development, reporting, and file maintenance.
