Position Overview
Pay Grade: Coordinator 3
This role is responsible for orchestrating events and meetings while providing administrative assistance for a designated campus, as directed by the Senior Director of Staff Professional Development and Event Management. Additionally, this position will support events across all College campuses as required.
Key Responsibilities

* Collaborates in the organization of events and meetings for the assigned campus under the guidance of the Senior Director of Staff Professional Development and Event Management.
* Aids in planning event requirements by coordinating with caterers, submitting work orders, making room reservations, and liaising with various departments as necessary.
* Engages with internal and external clients, the general public, contractors, vendors, supervisors, peers, and subordinates, providing accurate and relevant information in writing, verbally, or in person.
* Maintains a comprehensive campus event calendar and communicates monthly schedules to relevant departments.
* Adheres to event-specific budgets and processes invoices/receipts in accordance with purchasing policies and guidelines.
* Ensures a safe and organized environment for all event participants.
* Resolves scheduling conflicts related to equipment, space, supplies, and furnishings.
* Assists the Senior Director of Staff Professional Development and Event Management in coordinating and promoting campus initiatives as necessary.
* Supports the coordination and collaboration of marketing efforts to promote campus-specific venue sales and community engagement.
* Maintains accurate event records, reports, and documentation as required.
* Provides administrative support to Campus Administrators as needed.
Qualifications
Knowledge, Skills & Abilities:
Proficient in MS Office applications
Strong interpersonal skills and ability to collaborate effectively
Accurate record-keeping and consistent deadline management
Demonstrated organizational skills
Ability to stand and walk for extended periods, as well as bend and lift during an 8-hour workday
Willingness to travel among all Wake Tech campuses and centers
Capability to perform normal duties with minimal supervision
Excellent written and verbal communication skills
Exceptional customer service skills
Requirements:
High School Diploma or equivalent
One year of experience in hospitality, catering, or event planning
One year of administrative experience in a professional office environment
Reliable transportation and a clean driving record
Availability to work 40 hours as assigned during operational hours
Ability to lift and carry up to 25 pounds and push/pull up to 50 pounds
Preferences:
Associate's degree
Demonstrated experience in planning multiple events and meetings, creating reports, and managing multiple calendars
