ROLE SUMMARY: The Project Coordinator will support the Project Management team by handling administrative tasks and processes necessary for the timely scheduling, delivery, and completion of projects. This includes facilitating the creation of project plans and permits and managing them from start to finish.

KEY RESPONSIBILITIES:

  • Effectively coordinates project tasks and resources to ensure projects are completed on schedule and within budget.
  • Enhances project handling by streamlining administrative tasks, thereby improving team and individual efficiencies.
  • Maintains project documentation with 100% accuracy for each project.

ESSENTIAL FUNCTIONS:

  • Manages all Project Schedule Intake using Microsoft Dynamics 365-Field Service software.
  • Ensures compliance with regulations.
  • Processes outgoing Labor Purchase Orders and Material Take Offs.
  • Orders job materials and schedules deliveries as needed.
  • Procures windows, doors, shutters, paint, accessories, and stone.
  • Monitors profit margins for projects.
  • Handles incoming Labor Purchase Orders from Trade Partners and follows up on action items.
  • Distributes and tracks project-related technical materials in collaboration with the project manager.
  • Creates documentation for job closeouts.
  • Records and follows up on key actions and decisions from meetings.
  • Obtains and organizes required municipal permits, maintaining the project schedule.
  • Updates monthly lumber pricing in the system.
  • Provides backup support to other Project Coordinators as necessary.
  • Performs additional duties as assigned by the Finance Director or Senior Project Coordinator.

QUALIFICATIONS:

  • High school diploma or equivalent; additional education in relevant courses is preferred.
  • One to three years of related experience.
  • Basic understanding of residential construction within a home building or remodeling context.
  • Motivated and goal-oriented with a drive to exceed expectations.
  • Strong organizational skills, including multitasking and time management abilities, along with problem-solving skills.
  • Proficient in Microsoft Office 365.
  • Familiarity with Microsoft Dynamics 365 or NAV is a plus.
  • Exhibits good judgment and the ability to make timely decisions.
  • Dependable and reliable with a strong work ethic.

PHYSICAL AND MENTAL REQUIREMENTS:

  • Ability to stand and sit for extended periods.
  • Capable of lifting up to 25 pounds safely.
  • Ability to navigate an office environment easily.
  • Proficient in reading, writing, and understanding English.
  • Effective interaction with various personalities, both internally and externally.
  • Ability to use office equipment safely and effectively.
  • Comfortable working in a fast-paced environment.
  • Correctable vision and hearing are required.

WORK SCHEDULE: Full-Time: Monday - Thursday 8:30 AM - 5:00 PM and Friday 8:30 AM - 4:00 PM.
