Parish Office Assistant

Serve as the First Point of Contact
As a Parish Receptionist/Administrative Assistant for SS. Simon and Jude Roman Catholic Cathedral Phoenix, you will serve as the first point of contact for parishioners and visitors, playing a crucial role in creating a positive and welcoming atmosphere. This role involves handling front-office operations and performing various administrative tasks to support the parish's priests and back-office staff.
Key Responsibilities:
•Welcome visitors and parishioners, identify their needs, and provide information and assistance to meet them or direct them to the appropriate staff member or office.
•Answer and direct phone calls, providing information or assistance; refer calls to the appropriate office; maintain a record of telephone messages and direct them to the appropriate staff person.
•Register new parishioners and maintain accurate parishioner information in the parish database. Assist in maintaining parish records and manage various database forms and processes.
•Contact parishioners as needed to verify demographic information. Assist parishioners with setting up or modifying their online contributions. Enter data as needed for administration.
•Establish and maintain sacramental forms and records; maintain a parish record of all sacraments administered by parish clergy; respond to requests for verification of sacraments received; report reception of sacraments to other parishes as necessary.
•Order office supplies and maintain office machines; schedule maintenance services, coordinate service calls/repairs, and order supplies through a vendor.
•Enter weekly cash and check contributions into parishioners' profiles and check the money counter's totals with database totals. Process checks and complete remote deposits. Type thank-you letters for special contributions as needed.
•Coordinate incoming and outgoing mail; sort and distribute incoming mail; stamp outgoing mail and distribute costs to the appropriate departments. Assist with any special parish-wide mailings.
•Make copies for back-office staff if requested. Maintain an organized and stocked copy room.
•Assist priests with schedules, appointments, and calendars as needed.
•Perform other position-related tasks deemed necessary and/or assigned by the office manager and administration.
Requirements:
•Bilingual: Ability to communicate clearly and compassionately in both English and Spanish.
•Excellent interpersonal and communication skills and a pastoral attitude.
•Good computer and typing skills. Knowledge of Microsoft Office applications.
•Willingness to learn database management system and ongoing learning with database updates, etc.
•Understand the importance of confidentiality of parish records and conversations.
•Attention to detail and accurate data entry skills.
•Self-learner, problem-solver, and a team player.
Salary Information:
$16.00 - $17.00 Hourly, depending on experience.
