We are seeking a highly skilled and experienced Executive Administrative Assistant to join our dynamic team at Woolpert, Inc. in Pittsburgh. This is a senior-level position that reports directly to the President and requires a high level of administrative support.
Key Responsibilities- Manage the executive calendar and schedule meetings, ensuring seamless coordination and efficient use of time.
- Handle confidential information, correspondence, and meetings with discretion and professionalism.
- Prepare reports, presentations, and meeting materials, utilizing strong writing and communication skills.
- Coordinate travel arrangements, including international travel, and ensure all necessary documentation is completed.
- Act as a liaison between executives and internal/external stakeholders, fostering strong relationships and effective communication.
- Manage office operations and special projects, demonstrating flexibility and adaptability in a fast-paced environment.
- Process and manage expense reports and timesheet submissions and approvals, ensuring accuracy and compliance.
- Attend meetings as requested and compile meeting minutes and action items, maintaining a high level of organization and attention to detail.
- Arrange Board of Directors and other executive meetings, including all accompanying administrative tasks.
- Organize team communications and plan events, both internal and off-site, promoting a positive and productive work environment.
- 10+ years of administrative support experience at the senior executive level or equivalent experience.
- Expert Microsoft Office skills, including Outlook, PowerPoint, Word, and Excel.
- Strong written and verbal communication skills, with the ability to effectively communicate with executives and stakeholders.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
- Excellent time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail, with a focus on accuracy and quality.
- Understand the preferences and proactively anticipate the needs of executives and others, ensuring efficient and smooth travel, logistics, and scheduling.
- Prepare presentations and manage all business correspondence, demonstrating strong writing and communication skills.
- Manage inventory of equipment and business supplies, ensuring efficient use of resources.
- Manage information flow, with only significant issues escalated, maintaining a high level of organization and attention to detail.
- Present as a leader to the administration team in standards and processes, promoting a positive and productive work environment.
- Maintain and refine initiatives for the C-Suite, demonstrating a high level of professionalism and expertise.
- Actively research and promote efficiencies to processes, ensuring continuous improvement and excellence.
- Plan and orchestrate work to ensure that senior executives' priorities are met, organizational goals are achieved, and best practices are upheld.
- Assist in compiling data, proofreading/editing emails, completing projects, and preparing presentations, as needed.
