Job Title: Executive Administrator

Job Summary:
We are seeking an experienced Executive Administrator to join our team at Sargent Electric Company. As a key member of our executive team, you will provide administrative support, coordinate travel arrangements, and maintain confidentiality in a fast-paced environment.

Responsibilities:
  • Coordinate executive team calendars, appointments, and travel arrangements.
  • Prepare and edit correspondence and reports for executives.
  • Act as a point of contact between executives, employees, and external partners.
  • Coordinate customer, vendor, and subcontractor inquiries with the appropriate Sargent locations.
  • Organize and coordinate meetings, events, and conferences.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Coordinate team travel, meetings, and accommodation.
  • Maintain corporate records in an organized manner.
  • Coordinate surety bond needs, renewals, approvals, and overall schedule.
  • Coordinate certificates of insurance requests.
  • Gather and maintain approvals for contract reviews and similar needs.
  • Coordinate Board Meetings and Board requests with Executive Management.
Requirements:
  • Bachelor's degree in business administration, marketing, or a related field (preferred).
  • 10+ years of executive administration, customer service, or other role interfacing internally and externally in a complex organization.
  • Exceptional organizational and time management skills.
  • Ability to juggle multiple tasks and deal with conflicting priorities.
  • Strong written and verbal communication skills.
  • Attention to detail and a high level of confidentiality.
