Appointment Scheduling Specialist

At Pikes Peak Oral Surgery, we pride ourselves on delivering outstanding care to our patients and exceptional service to our referring partners. We are seeking a dedicated, enthusiastic, and empathetic team member to join us in enhancing our practice and supporting our community's oral surgery needs. While prior experience in oral surgery is advantageous, it is not a prerequisite.
The Appointment Scheduling Specialist plays a vital role in ensuring superior patient care, leading to optimal clinical outcomes and fulfilling the needs of our patients.
Key ResponsibilitiesThe Appointment Scheduling Specialist will be responsible for welcoming patients, managing phone communications, coordinating appointments, collecting patient financial obligations, and organizing patient documentation.
- Delivers high-level customer service while engaging with patients, referring offices, and colleagues through various communication channels.
- Welcomes patients and visitors promptly with a warm and friendly attitude.
- Answers incoming calls with professionalism and a positive demeanor.
- Coordinates appointments to maximize patient satisfaction, provider efficiency, and effective utilization of examination and treatment spaces.
- Develops a daily schedule for each provider.
- Organizes patient documentation.
- Oversees patient flow to minimize wait times.
- Assists patients as needed.
- Keeps the reception area tidy and organized.
- Maintains a professional rapport with referring offices.
- Ensures confidentiality of all information in compliance with HIPAA regulations.
- Performs additional related tasks as assigned.
- High school diploma or equivalent is required.
- A minimum of one year of customer service experience is required.
- Familiarity with dental terminology.
- A friendly, approachable, and professional demeanor.
- Basic office skills, including typing and filing.
- Strong organizational abilities.
- Keen attention to detail.
