Office Manager Job Description

We are seeking a highly skilled and organized Office Manager to join our team at Lennar Homes. As an Office Manager, you will be responsible for providing exceptional administrative support to our Division and ensuring the smooth operation of our office.

Key Responsibilities:
  • Manage all aspects of the day-to-day functions of the Division, including front desk management and meeting coordination.
  • Perform various clerical duties, such as answering phones, filing documents, and typing reports.
  • Maintain the reception area and office presentation, as well as storage areas.
  • Manage and maintain kitchen inventory, including refreshments, snacks, and paper goods.
  • Effectively communicate with team members and stakeholders to resolve issues and improve processes.
  • Facilitate mail, FedEx, and UPS processes, as well as arrange for equipment maintenance and repairs.
  • Develop and implement processes to improve office efficiency and supply management.
  • Order supplies and ensure they are stocked at all times.
  • Oversee and coordinate office renovations and relocations.
  • Serve as the main contact for the Management Company and address shared space concerns.
  • Manage milestone tracking for new community openings and serve as a central communication source for all departments.
  • Daily coding of utility invoices and resolving any utility issues.
  • Research, plan, and procure division events, such as holiday parties and team-building activities.
  • Coordinate and assemble documentation for Quarterly Ops Meetings.
  • Support the Division President on administrative tasks and special projects.
  • Serve as Division HR Liaison to the Regional HR team.
Requirements:
  • High School Diploma or GED required.
  • Minimum of four years of office management experience in a professional atmosphere.
  • Prior supervisor experience.
  • Highly proficient in Microsoft Office, including Word, Excel, and PowerPoint.
  • Diplomatic, thorough, customer-service-minded, detailed, and professional.
  • Ability to interact professionally with all levels of management, division associates, Corporate associates, customers, and outside entities.
  • Impeccable communication skills and phone etiquette.
  • Ability to handle multiple tasks while working under pressure to meet simultaneous deadlines.
  • Working knowledge of standard office equipment, such as copiers, printers, and fax machines.
