Position Title: Project Administrative Assistant
Position Type: Full Time; 35 Hours Weekly
Benefits Eligible: Yes
Location: Toms River, NJ
Department: Youth Bridge Housing
Salary: $35,000 - $42,000

Key Responsibilities:

  • Draft and manage reports, correspondence, and meeting documentation.
  • Utilize project management tools to maintain up-to-date project information accessible to various stakeholders.
  • Oversee the preparation and administration of construction contracts.
  • Address subcontractor inquiries and formulate appropriate responses.
  • Prepare necessary permits and applications for project progression.
  • Organize, distribute, and archive all documentation related to ongoing and new projects.
  • Update and maintain a database of community opportunities.
  • Manage an inventory of community support materials, ensuring all resources are current and accurate.
  • Assist with vendor onboarding and payment processing.
  • Track, review, and categorize invoices for approval and payment.
  • Support special projects and other administrative tasks as required.

Qualifications:

  • High school diploma or equivalent required; a college degree is preferred.
  • Prior experience in administrative support is advantageous.
  • Flexibility in work location and schedule is essential.
  • Proficient computer skills are required, particularly in the Microsoft Office suite, with a focus on Excel and PowerPoint.
  • Familiarity with Adobe Acrobat and Microsoft Project is preferred.
