Under supervision, this role involves performing moderately complex tasks related to court proceedings, including the management and distribution of court documents.

Typical Duties

Responsibilities may include, but are not limited to:
  • Processing and distributing confidential legal documents
  • Managing case files efficiently
  • Attending court sessions, preparing necessary documents, and summarizing court decisions
  • Distributing judicial orders and legal documents as directed by the Judge
  • Updating calendars for the Court and Judge based on court orders
  • Scheduling court hearings and trials
  • Entering case information into the software system
  • Completing minute entries from court hearings and trials
  • Certifying legal documents
  • Coordinating deliberation rooms for jury trials
  • Preparing and transferring felony cases to Superior Court
  • Assisting in training new staff members
Essential functions of this position include standing, walking, sitting, crouching, kneeling, reaching, and bending to file; working at heights to retrieve files; and lifting and carrying items weighing up to 30 lbs.

Minimum Qualifications

Two years of progressively responsible clerical experience, including at least one year in a Justice Court environment; OR an Associate's degree in a related field and one year of relevant clerical experience; OR an equivalent combination of education, training, and experience demonstrating the ability to perform the duties of the position.

Preferred Qualifications
Experience in customer service, computer skills, and bilingual abilities (Spanish/English) are advantageous.

Knowledge, Skills, and Abilities

Considerable knowledge of:
- Modern office practices and procedures
- Justice Court terminology
- Business English and spelling

Working knowledge of:
- Arizona statutes and Rules of Procedure
- Court and legal terminology
- Computer applications

Ability to:
- Make informed decisions in accordance with regulations and policies
- Maintain confidentiality
- Perform complex paperwork and calendaring tasks accurately
- Meet deadlines consistently
- Maintain accurate records and prepare reports
- Work safely and promote workplace safety
- Establish effective working relationships with colleagues and the public
- Follow both written and verbal instructions
- Communicate effectively in both verbal and written forms
