Key Responsibilities:

Front Desk Operations

  • Act as the first point of contact for patients and visitors, ensuring a positive and memorable service experience.
  • Efficiently register patients upon arrival, confirming demographic details and collecting necessary payments.
  • Communicate any delays or wait times to patients, following up to ensure resolution of inquiries or complaints.
  • Handle patient inquiries professionally, directing them to the appropriate supervisor when necessary.
  • Verify and document patient identification and insurance information, ensuring accurate electronic records.
  • Provide necessary consent and compliance documents, explaining them thoroughly to patients as needed.
  • Utilize electronic health record (EHR) systems proficiently to manage patient information.
  • Review prescriptions and referrals for accuracy to ensure patients receive the correct examinations.
  • Coordinate with various departments to maintain patient satisfaction regarding scheduling and admissions.
  • Prepare patients for upcoming appointments by providing clear instructions and verifying necessary preparations.
  • Participate in emergency protocols as required, assisting colleagues when needed.
  • Manage incoming and outgoing communications effectively, maintaining office supplies as necessary.
  • Contact referring physician offices to verify or request essential patient information.
  • Organize and prioritize tasks to meet operational deadlines while ensuring smooth patient flow.
  • Maintain a professional and welcoming reception area, ensuring cleanliness and organization.
  • Uphold company policies and values, ensuring confidentiality of patient information in compliance with HIPAA regulations.

Medical Records Management

  • Ensure the accuracy and completeness of health records, entering data into systems correctly.
  • Serve as a liaison for patients regarding medical records, fostering positive service experiences.
  • Manage the retrieval and release of medical records in accordance with HIPAA and company policies.
  • Collaborate effectively with diverse team members and patients to promote inclusivity.

  • Assist technologists in managing patient flow to optimize scheduling.
  • Ensure all patient areas are well-stocked and orderly.
  • Perform cleaning and stocking duties in preparation and restroom areas.
  • Collaborate with technologists and supervisors for additional support as needed.
