Administrative Support Specialist

The role of Administrative Support Specialist supports department leadership and staff by performing various administrative functions, including answering phones, receptionist duties, project support, meeting and event planning, travel arrangements, and more. The position emphasizes outstanding customer service and maintaining respectful relationships with all. Key responsibilities include:

  • Providing administrative support to leadership and staff, including calendar management and daily issue resolution
  • Greeting visitors and providing assistance as needed
  • Handling incoming calls, routing them appropriately, recording messages, and managing voicemails
  • Sorting and distributing office mail, handling packages and special deliveries
  • Organizing meetings, including ordering meals and reserving locations, and preparing meeting materials
  • Drafting and editing agendas, letters, memos, and correspondence as needed
  • Maintaining the filing system
  • Coordinating travel arrangements, including lodging, flights, transportation, and event registration
  • Preparing expense reports and managing vendor payments, subscriptions, and supply orders
  • Creating PowerPoint presentations and spreadsheets for various projects and events
  • Assisting with contract matters and employee HR-related functions as needed

Requirements:

  • Proficient in MS Office Suite (Outlook, Word, Excel, Publisher, PowerPoint) and internet research tools
  • Experience with word-processing and databases
  • Familiarity with office equipment: fax, copier, printer, scanner, binding machine, LCD monitors, multi-line phone systems, etc.
  • 3 years of office/secretarial experience
