Job Title: Client Services Associate

Reports To: The Client Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Job Overview:

The Client Services Associate is responsible for delivering outstanding office and mail services, ensuring operational efficiency in various areas including: managing inbound and outbound mail, distributing and delivering correspondence, handling shipping and receiving of products and supplies to support the onsite business service center, organizing and replenishing office supplies (such as pens, paper, and toner), ensuring the functionality and stocking of copy and print machines, providing backup support at the front office (reception/concierge), and performing light maintenance and cleaning tasks.

This role is pivotal in maintaining a high standard of service for all clients and employees while upholding a professional image of the company through prompt, courteous, and efficient service.

Duties and Responsibilities:
  • Delivers exceptional customer service to all employees through various communication channels.
  • Receives and sorts incoming mail/packages, documenting them in chain of custody software.
  • Manages outgoing mail/package transactions efficiently.
  • Handles duties related to the shipping and receiving of materials.
  • Notifies employees upon receipt of deliveries.
  • Distributes mail/packages to appropriate personnel.
  • Acts as a point of contact for inquiries regarding mail/packages.
  • Performs daily operations on multi-function devices (ensuring functionality and replenishing supplies).
  • Submits work orders for specific requests.
  • Maintains and services pantry, barista, conference, kitchen, or meeting areas.
  • Sets up meeting and conference rooms as required.
  • May assist with relocating building occupants within assigned facilities.
  • Performs light maintenance and cleaning tasks as assigned.
  • Keeps the Business Service Center area organized and tidy.
  • Monitors office supply levels and places orders as necessary.
  • Assists with copy/print orders and monitors equipment functionality.
  • Proactively seeks additional tasks during downtime.
  • Builds professional relationships with clients and other teams.
  • Maintains professionalism and composure in all interactions.
  • Trains backup personnel and provides guidance on policies and procedures.
  • Identifies additional support needs when addressing sensitive inquiries.
  • Delivers outstanding customer service to clients.
  • Provides reception or concierge coverage as needed.
Competencies:
  • Strong verbal and written communication skills.

  • Proficient in MS Office Suite.
  • Able to manage multiple tasks simultaneously.
  • Good organizational skills.
  • Familiarity with multi-function devices.
  • Knowledge of shipping and receiving procedures.
  • Ability to work independently and complete projects.
  • Skilled in determining proper packing methods and validating packing slips for accuracy.
Qualifications and Education Requirements:
  • High School Diploma (or equivalent) required.
  • 1+ years of relevant work experience preferred.
  • Able to work assigned hours as determined by management.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Exceptional written and verbal communication skills.
  • Current knowledge or ability to learn necessary computer-based systems.
  • Required to maintain a professional appearance and demeanor.
  • Adhere to all relevant policies and procedures.
Physical Demands:
  • This position requires physical activity approximately 50% of the time, including:
    • Fine and gross motor skills for handling packages using a standard wheeled cart with a load capacity of 60 lbs.
    • Ability to walk, bend, kneel, stand, and sit for extended periods.
    • Manual dexterity for operating office machinery (phones, copy machines, etc.).
    • Ability to lift or move 40 lbs. or more frequently.
