Service Operations Assistant Manager

Department: Virginia Service Department
Reports To: Service Manager
Role Summary
The Assistant Service Manager serves as a key contact for clients seeking service and repair solutions. This role demands a professional with exceptional customer service abilities and strong organizational skills. A dedication to outstanding customer care, teamwork, and meticulous attention to detail are vital for success in this position. The role may involve site visits and occasional training travel.
Key Qualifications:
- High school diploma or GED equivalent
- Experience in mechanical and electrical systems, particularly with pumps, motors, air compressors, and dryers, along with troubleshooting skills
- Ability to interpret technical diagrams and schematics
- Proficient in using test and measuring instruments
- Strong customer service, communication, and organizational skills
- Capability to manage multiple tasks simultaneously
- Ability to perform under pressure and meet deadlines
- Proficient in MS Office Suite, including Word, Outlook, and Excel
- Must be a US citizen
- Must pass background checks and drug screening
- Must hold a valid driver's license with a clean record
- Maintain office hours from Monday to Friday
- Provide 24-hour on-call support as needed
- Report directly to the Service Manager
- Manage a company service vehicle and tools
- Handle service and technical inquiries
- Schedule and coordinate field technicians
- Prepare job documentation
- Research parts for quotes, repairs, and maintenance contracts
- Assist in the re-quoting process for maintenance contracts
- Oversee shop operations
- Review and approve employee time sheets
- Manage processing of ongoing and completed jobs
- Assist in sourcing parts for active projects
- Support the sales team with technical information and service requests
- Coordinate technician training sessions
- Facilitate safety meetings
- Complete customer safety questionnaires
- Attend necessary customer and vendor meetings
- Prepare maintenance and repair proposals
- Resolve billing disputes with customers and vendors
- Assist customers with inquiries and concerns
- Perform additional duties as assigned by management
