Job Summary

We are seeking an Administrative Assistant/Receptionist to provide administrative and office support to our management team. The successful candidate will be responsible for ensuring the efficient operation of the department.

Key Responsibilities:

  • Provide exceptional customer service to visitors and clients.
  • Manage the reception area, ensuring effective telephone and mail communications are answered and forwarded to the appropriate person.
  • Ensure the reception area is clean and presentable, with all necessary stationery and materials.
  • Provide basic and accurate information in-person and via phone/email, and assist with event planning.
  • Receive, sort, and distribute daily mail and deliveries, and process income and outgoing mail in a timely manner.
  • Maintain and track visitor log books and manage meeting room bookings.
  • Maintain and update client data information.
  • Order front office supplies and maintain inventory of stock.
  • Perform other clerical receptionist duties, such as filing, photocopying, transcribing, and faxing.
  • Provide administrative support for the management team, including billing and report generation, data entry, and report compilation.

Requirements:

  • High School Diploma or equivalent required.
  • 1 year of clerical, receptionist, and/or office experience preferred.
  • Proficient computer skills, including Windows, Microsoft Word, Excel, and Internet.
  • Ability to work well under pressure and have good organization and problem-solving skills.
  • Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision.
  • Pleasant personality and professional telephone manner essential.
  • Excellent organizational, oral, and written communication skills, customer service skills.
  • Good attention to detail and ability to maintain confidentiality essential.
  • Desire to work with low-income, culturally diverse, and at-risk families.
  • Bilingual skills (Spanish/English) preferred.
