Role Summary:

In the capacity of Senior Administrative Coordinator, you will be responsible for managing the activities of the Chief Technology Officer (primary) and the Technology leadership team (secondary). The CTO operates from New York City, while the leadership team functions in a hybrid model, balancing in-person and remote work across various time zones. Your role will encompass a diverse range of administrative support tasks, from intricate to routine, all contributing to the effective and professional operation of the office's team and leadership.

Key Qualifications:

  • Bachelor's degree or a comparable combination of education and experience.
  • A minimum of 5 years of relevant experience supporting an executive office team.
  • Proven ability to collaborate effectively and utilize interpersonal skills to achieve results.
  • Highly organized with the capability to manage multiple tasks under pressure.
  • A natural problem-solver with strong analytical and creative thinking skills.
  • Experience in a fast-paced work environment.
  • Maintains confidentiality, diplomacy, and tact consistently.
  • Intermediate to expert proficiency in MS Office, Google Suite, expense management systems, and communication tools.
  • Exceptional organizational skills with a keen sense of time management and prioritization.
  • Meticulous attention to detail.
  • Strong problem-solving capabilities.
  • Excellent verbal and written communication skills.
Responsibilities:
  • Oversee calendar management, prioritizing appointments and proactively resolving scheduling conflicts.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Handle inquiries via phone, email, and in-person, providing general information and directing inquiries appropriately.
  • Organize and schedule meetings, including participant coordination, room bookings, and catering arrangements.
  • Plan and execute special events and projects as required by the leadership office, such as town halls and team offsites.
  • Support various meetings chaired by the leader by preparing agendas, recording minutes, and following up on action items.
  • Process travel and expense claims efficiently.
  • Maintain records and oversee expenditures related to special projects and events.
  • Manage the calendar for time off for the leadership team.
  • Prepare and maintain a tracker for relevant meeting materials as identified by the leader.
  • Administer email distribution lists for the organization.
  • Be present in the office 3-4 days a week.
