Position: Fiduciary Services Officer
General Overview
A Fiduciary Services Officer is responsible for managing a diverse portfolio of fiduciary and investment management accounts tailored for affluent clients, including families across generations. This role encompasses the oversight of the administration and growth of intricate investment management and trust accounts. The Fiduciary Services Officer is expected to cultivate and sustain a network of influential contacts while proactively engaging in client communication and service coordination. This position demands strong leadership skills and a dedication to maintaining the highest standards of fiduciary responsibility.
Key Responsibilities
- Establish and nurture relationships with clients, beneficiaries, and other stakeholders, comprehending their needs, objectives, and governing documents.
- Deliver wealth management guidance and ensure awareness and education regarding trust products for clients and influential contacts.
- Execute investment strategies that align with clients' objectives utilizing various investment vehicles, with regular portfolio reviews and adjustments.
- Drive business growth, client retention, and service delivery to individuals, families, trusts, and foundations.
- Build and maintain relationships with influential contacts such as CPAs and attorneys to create a network of professional advisory resources for clients and generate new business referrals.
- Participate in client meetings, document discussions, and coordinate follow-up actions.
- Oversee the preparation of reports and materials for client meetings.
- Document client interactions and information in client files.
- Ensure adherence to proper account opening and closing procedures and review related documentation.
- Supervise account transactions and reporting, ensuring accuracy and compliance.
- Manage risk and ensure compliance with all relevant company policies, procedures, and regulations.
- Maintain knowledge of governing instruments including trust agreements, wills, and modification documents as applicable to the client base.
- Collaborate with fiduciary counsel to ensure administration aligns with governing documents.
- Prepare Annual Relationship Reviews and ensure all accounts meet regulatory requirements.
- Mentor Trust Administrators, Wealth Management Associates, and Trust Assistants.
- Stay informed on developments in probate and fiduciary law, actively seeking professional development opportunities.
- Represent the organization in community initiatives to enhance brand visibility.
Qualifications:
To excel in this role, an individual must effectively perform each essential duty. The qualifications listed below are indicative of the knowledge, skills, and abilities required:
- Bachelor's degree; advanced degree such as JD or MBA preferred.
- CFP (Certified Financial Planner) or CTFA (Certified Trust and Fiduciary Advisor) certification required, unless holding a JD.
- Over 10 years of experience in financial services, investments, tax, or trust and estate legal fields.
- Expertise in Estate Planning, Supplemental Needs Trusts, Charitable Planning, and/or Estate Administration.
- Proficient in financial planning and estate planning techniques.
- Knowledgeable about investment products.
- Exceptional writing and presentation skills.
- Proven success in a collaborative team environment.
- Ability to organize and complete multiple tasks accurately within deadlines.
- Sales-oriented, approachable, and persuasive demeanor.
