We are seeking an experienced Operations Director to join our team at the City of New York. As a key member of our Communications & Marketing Division, you will be responsible for managing the division's administrative, procurement, and language access needs.
Key Responsibilities- Manage all administrative functions for the Communications & Marketing Division, including budget, procurement, and other support operations.
- Proactively work with DCWP Finance, Human Capital, General Counsel, and other divisions to resolve operational needs.
- Manage the division's budget, including researching vendors, requesting quotes, processing invoices, and monitoring spending.
- Oversee procurements, particularly communication contracts, including identifying division needs, researching and communicating with vendors, drafting Request for Proposal (RFP) for vendor solicitations, and managing vendor contracts.
- Provide timely updates to the Associate Commissioner and other stakeholders, identifying unanticipated challenges and strategies for addressing those challenges.
- Manage the division's physical office space, including submitting Facilities and supplies requests, managing workspace allocation, developing and implementing filing and record retention protocols, and similar projects.
- Coordinate hiring, onboarding, promotion, and other personnel matters in collaboration with C&M managers and Human Capital.
- Supervise the Language Access Coordinator and oversee all Agency translation needs.
- Implement and manage special projects as needed.
To be considered for this role, you must have a master's degree from an accredited college in economics, finance, accounting, business, or public administration, human resources management, management science, operations research, organizational behavior, industrial psychology, statistics, personnel administration, labor relations, psychology, sociology, human resources development, political science, urban studies, or a closely related field, and two years of satisfactory full-time professional experience in one or a combination of the following:
- Working with the budget of a large public or private concern in budget administration, accounting, economic or financial administration, or fiscal or economic research.
- Management or methods analysis, operations research, organizational research, or program evaluation.
- Personnel or public administration, recruitment, position classification, personnel relations, employee benefits, staff development, employment program planning/administration, labor market research, economic planning, social services program planning/evaluation, or fiscal management.
- Related areas.
18 months of this experience must have been in an executive, managerial, administrative, or supervisory capacity. Supervision must have included supervising staff performing professional work in the areas described above.
