Job Summary

The Regional Business Office Manager will oversee the smooth functioning of our administrative processes, providing proactive and detail-oriented support. This role requires a strong ability to multitask, prioritize tasks, and maintain meticulous documentation to ensure operational efficiency and regulatory compliance.

Key Responsibilities
  • Support site-level business managers and receptionists in their day-to-day duties, including human resources, student enrollment/registration, accounting, and general office administration.
  • Oversee communication with school districts, state departments, vendors, and internal staff to ensure smooth operations.
  • Monitor and oversee service contracts for student enrollment, related services, and transportation.
  • Manage regional accounts receivable and payable, including invoicing, collections, and purchasing.
  • Provide comprehensive training and support to site-level staff on business procedures and compliance requirements.
  • Conduct internal audits of student and staff records to ensure regulatory compliance.
  • Manage payroll and HR activities, including onboarding/offboarding, benefits enrollment, worker's compensation, and staff files.
  • Oversee contracts for building maintenance and safety compliance.
  • Coordinate responses to RFPs of Arizona school districts.
  • Manage vendor relationships and contracts in coordination with organizational management.
  • Attend, virtually or in-person, Arizona State meetings for ADE, SEAA, AzCEC, and related AZ Legislation.

Requirements
  • Willingness to travel 1-3 days weekly between schools.
  • Comfortable in a fast-paced school environment.
  • Comfortable interacting with students with behavioral and social-emotional needs.
  • Demonstrated experience in administrative roles emphasizing communication, management, and documentation.
  • Exceptional interpersonal skills for effective communication with diverse stakeholders.
  • Strong organizational skills with meticulous attention to detail and task prioritization in fast-paced settings.
  • Experience in managing accounts receivable and payable processes, including invoicing and collections.
  • Familiarity with regulatory compliance requirements; experience in internal audits preferred.
  • Proficiency in payroll systems and software, preferably Paycom or similar platforms.
  • Effective collaboration with cross-functional teams and external partners.
  • Proactive approach in identifying areas for improvement and implementing solutions.
  • Strong analytical skills, proficiency in Google Suite.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Flexibility to adapt to shifting priorities and work independently with minimal supervision.
  • Dedication to upholding high standards of professionalism and integrity in all interactions.
