JOB SUMMARY

The role is pivotal in delivering academic guidance and support within the University framework through personalized student counseling, academic advising, and assisting students in achieving their educational goals. The Student Service Advisor: Engages with students from their initial enrollment at Ottawa University until their graduation. This includes monitoring students' academic journey, persistence, curriculum choices, degree planning, financial aid, and acting as an advocate for each student throughout their educational experience.

ESSENTIAL FUNCTIONS OF THE JOB

  • Welcomes students from the Enrollment Advisor (EA) upon their admission into the University system. Facilitates the online orientation course for new students and collaborates with fellow advisors to organize orientation sessions across various campuses. Conducts initial assessments to identify students' needs and develop tailored programming and services. Assists students in creating and maintaining an up-to-date Graduation Plan. Guides students in effectively scheduling and enrolling in courses aligned with their Graduation Plan. Monitors students' progress and maintains regular communication to encourage continuous enrollment and academic advancement.
  • Provides advice to students regarding their concerns, inquiries, and challenges, connecting them with appropriate university resources. Acts as a coach, fostering a supportive environment that enhances the student experience. Serves as the primary communicator for students regarding updates and changes to university policies and procedures.
  • Implements established protocols to provide timely information on eligibility and funding options to assist students in their financial planning. Ensures that all necessary documentation is completed and audits are conducted as required. Maintains a comprehensive understanding of financial aid regulations.
  • Meets with students as necessary to review their progress and assess their needs for tutoring, mentoring, career counseling, internships, and service learning opportunities. Connects students with faculty members for additional mentoring when appropriate. Advocates for the utilization of supplementary academic and professional resources for students as needed.
  • Conducts exit interviews with students upon graduation or when they leave the University system.
  • Performs other duties as assigned.

  • Understand and adhere to the University's policies and procedures, exercising sound judgment. Maintain confidentiality and ethical management of University and student information in accordance with the University's Code of Conduct and Ethics.
  • Exhibit leadership through conduct, attitude, and professionalism. Represent the University positively to students, external groups, faculty, and staff.
  • Support the overall Mission of Ottawa University.
  • Demonstrate inclusivity in daily actions, aligning with the University's Diversity Statement.

Qualifications

REQUIRED EDUCATION: A Master's degree in Adult Education, Counseling, Student Services, or a related field is required.

REQUIRED EXPERIENCE: A minimum of three (3) years of experience in higher education, with prior experience as an advisor in this field. Experience advising programs within the School of Education is preferred.

ADDITIONAL ELIGIBILITY REQUIREMENTS:

  • Exceptional interpersonal and life coaching skills.
  • Proficient in academic and curricular matters.
  • Skilled in utilizing assessment tools and interpreting assessment data.
  • Sensitive to the needs of adult learners.
  • Strong communication skills, both verbal and written.
  • Excellent organizational abilities.
  • Possesses academic credentials that foster respect among assigned advisees.
  • Recognizes that advising is a form of teaching and mentoring.
  • Proficient computer skills for managing a database-driven client record system.

WORKING CONDITIONS:

  • Prolonged periods of sitting.
  • Ability to lift 5-15 pounds as needed.
  • May require evening or weekend hours.

TRAVEL REQUIREMENTS: No travel is required for this position.
