Medical Administrative Assistants leverage their expertise to execute a range of clinical and non-clinical administrative support functions, including:
- Managing and organizing patient documentation
- Coordinating appointment logistics
- Scheduling and following up on meetings, events, and travel arrangements
- Overseeing calendars
- Preparing reports and presentation materials
- Handling invoices and reimbursement processes
- Drafting and transcribing correspondence and documents
- Assisting with departmental initiatives and projects
- Developing and maintaining websites, databases, spreadsheets, and social media accounts
- Answering phone calls and ensuring proper follow-up
- Anticipating and addressing the needs of healthcare providers and patients, serving as a key resource
- Demonstrating initiative, adaptability, and proficiency to optimize the time of those supported
- Exhibiting strong organizational, communication, and interpersonal skills
- Upholding a commitment to quality and excellence in service delivery
- Maintaining confidentiality and professionalism
- Ensuring accuracy and thoroughness in all patient-related tasks
Qualifications
This position requires a high school diploma or G.E.D.
with at least two years of experience in an administrative support capacity, or a one-year degree/diploma in an administrative, business, or medical-related field with a minimum of one year of relevant experience, or an associate's degree in an administrative, business, or medical-related discipline.
Experience in administrative support must encompass responsibilities such as meeting coordination, calendar management, and proficiency in business software for creating databases, spreadsheets, and presentations.
Candidates without relevant medical education or experience must complete a Medical Terminology course within six months of employment.
Knowledge of Anatomy/Physiology may also be required based on the role and background.Possess strong organizational, customer service, professionalism, interpersonal relations, and written and verbal communication skills, along with the ability to prioritize and adapt to a fast-paced environment.
Demonstrate effective decision-making, judgment, and confidentiality, as well as attention to detail and follow-through. Experience in travel coordination and expense management is preferred. Proficient use of English grammar, punctuation, and sentence structure is essential.Demonstrates adeptness with computer hardware and software, telecommunications, and other office equipment, with the ability to navigate multiple systems simultaneously.
Previous work-related experience within the last ten years is preferred.No specific experience required.
