Role Summary:
At Seabreeze Management Company, we embody the principles of "People, Performance, Passion" in our daily operations. The General Manager, equipped with sound judgment and analytical skills, serves as a guiding force under the direction of the Board of Directors, overseeing the complete management of the homeowner association. This role requires a seasoned leader who is committed to implementing best practices and enhancing personalized service levels.
Key Responsibilities:
Administration:
- Supervise office personnel, vendors, and suppliers to achieve the goals set by the Board of Directors.
- Prepare correspondence in line with Board policies and other relevant communications.
- Organize and direct all office operations.
- Manage the work schedules and efforts of all office staff.
- Ensure adequate insurance coverage for the Association as outlined in governing documents, reviewing it as necessary.
- Establish and maintain relationships with the Association's legal counsel, guided by the Board's directives.
- Review and approve employee timesheets and maintain personnel files, including vacation and sick leave records.
- Collaborate with the Board of Directors and Finance Committee to assist in developing the Association's annual operating and reserve budgets.
- Analyze potential increases or decreases in operating and reserve budgets for specific income and expense items.
- Provide written justifications for budgetary adjustments to the Board of Directors.
- Monitor all budget accounts throughout the year to identify variances and seasonal changes.
- Ensure accurate accounting and reconciliation for work and change orders.
- Maintain a vetted vendor list for essential services, ensuring at least three qualified vendors for each category.
- Draft specifications for Requests for Proposal under the Board's direction.
- Review and monitor open Requests for Proposal requiring Board approval.
- Provide draft bid proposals to the Association's legal counsel for review before Board presentation.
- Accept contracts based on specifications approved by the Board.
- Ensure that the Financial Manager verifies journal entries against the Association's monthly financial statements.
- Review and approve payments for Association invoices, ensuring correct budget line items are utilized.
- Advise the Board on effective financial resource use and expenditure prioritization.
- Monitor delinquent accounts and ensure adherence to the assessment collection process.
- Plan and schedule maintenance for common areas and amenities.
- Assess the condition of Association property and amenities, providing recommendations to the Board.
- Collaborate with vendors to resolve issues related to contracted projects.
- Screen and interview candidates for office positions.
- Train and supervise both new and existing employees.
- Conduct annual performance evaluations and make salary recommendations.
- Minimum of 5 years in community association or property management.
- 5 years of supervisory experience with a focus on team motivation.
- Strong organizational and project management skills.
- Effective communication skills, both written and oral.
- Ability to handle confidential information with discretion.
- Proficient in Microsoft Office applications.
High School Diploma or equivalent required; Bachelor's degree preferred. CCAM or CMCA designations are desired.
