What this job involves – Provide general overall FM services including continuous monitoring of facility. Work with property managers to handle routine property management operations, including: procurement of property supplies and services, issuing purchase orders, managing bid requests and service/construction contracts, and processing of accounts payable and accounts receivable.Your day to day: Administrative FunctionAssist Facility Management Team with tactical planning for the team’s goals and objectivesLead the financial budget and accounting entry tasksProvide facility specific assistance to the project management team as needed or requestedManage and maintain small facility management tasks as assignedCoordinate special events in support of client or JLLProvide support for meetings and conference room reservations as needed and directedAssist with the coordination and scheduling of maintenance activitiesMailroom operationsCommunication and Relationship CoordinationProvide general overall facility management services including continuous monitoring of office/facilityAct as an interface with client, visitors and guestsEnsure appropriate follow up with customersProvide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruptionComplianceProperly and effectively administer and maintain all security systemsAssist with budgetary requests, analysis and reportingAssist with researching, analyzing and reporting budget variancesAny and all other duties and tasks assignedSound like you? To apply you need:Education/trainingHigh School minimum with background in handling budgetary financialsPreferred: Associates degree in facilities management, building, business or other related fieldYears of relevant experience2+ years’ experience with Facility or Property AdministrationSkills and knowledgeSuperior customer service skills and orientationAbility to maintain professionalism at all times under stressful situationsAbility to plan and manage work under time constraintsAbility to multitask and work without direct supervisionProficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills and collaborative styleOther abilitiesMust be proficient at Excel Spreadsheets and have capability of customizing administrative reportsPhysical work requirements and work conditionsMay be asked to accompany building maintenance or contractor pertaining to project or work scope clarification
