Summary:

As the Human Resources Administrative Assistant, you will provide a wide variety of routine administrative and clerical support activities for the human resources office which includes the utilization of automated systems to enter data. The Career Board is responsible for the selection of Client-14 and Client-15 Agent and Non-Agent vacancies (Diversion, Intelligence Research Analyst and Chemist). With Collaboration from Agent Assignments, Diversion, Intelligence and Forensic Sciences all announcements are requested and approved for announcement by the Career Board Executive Secretary.

THIS POSITION REQUIRES A HYBRID WORK SCHEDULE WITH 3 DAYS ONSITE AND 2 DAYS REMOTE.

Day to Day includes but is not limited to:
  • Process recommendation memos: Using the NFC database, research and confirm each applicant's information from the Recommendation Memos, and create position in the Career Board database in a timely fashion (typically two weeks before the board meeting). If applicable, verify all concurrences are present on rec memos.
  • Maintain and update the announcement tracker excel spreadsheet as well as the Career Board Access database
  • Draft correspondence and reports to generate SAPP Band scores then upload to the Career board website.
  • Track and process headquarter exemptions (research to confirm 3 years to mandatory retirement), headquarters rotation list (have 5 years in grade before rotating into Headquarters), end of foreign tours for future placement, Client-15's who have been at HQS more than 3 years, and other Career Board Statistics,
  • Ensure all Basic Qualified List (BQL) Packages are saved on Shared Drive
  • Confirm Employee disclosure forms are distributed to selected candidates,
  • Review, analyze, and evaluate program functions and processes to ensure that work performed is essential and contributes to the accomplishments of organizational objectives and overarching goals. Recommend solutions to ensure efficiency of operations and facilitate improvement.
  • Use guidance or oversight from higher graded specialists to evaluate customer needs and recognize potential program issues and/or trends.
  • Interpret and apply established and pertinent regulations and organizational policies, management principles, administrative rules, and staffing guidelines.
  • Maintain confidential and sensitive information such as PII and Agent and Non-Agent personnel matters
  • Other duties include but not limited to document scanning, coordinating meetings, and reserving conference rooms.
  • Inform management on specific requests related to immediate problems of limited scope.
  • Draft correspondence, recommendations, reports, and memoranda to support administrative programs.
  • Review information and apply standard analytical techniques.
  • Plan and develop new methods for coordinating the administrative work of a complex organization with disparate organizational segments requiring complicated administrative controls to accomplish the work of the Career Board management team.
Required Qualifications:
  • A minimum of 1-year specialized experience equivalent to at least the Client-06 Federal grade level performing duties of an HR Administrative Support.
  • Demonstrated understanding of Office of Personnel Management (OPM) guidelines and processes.
  • Active Public Trust Clearance or ability to obtain and maintain one.
