Administrative Assistant In-Office

We are looking for someone to be on-site in our office, and who is genuinely passionate about helping and supporting others. If you are enthusiastic about taking on challenges and driving our team's success, we strongly encourage you to apply today We need a dedicated and ambitious Real Estate Administrative Assistant with a clear vision of becoming an Office Manager and possibly more in the future. As part of our team, you will play a crucial role in managing all documentation efficiently, proactively informing clients about upcoming deadlines, ensuring complete legal compliance in all deals, and coordinating appointments and walkthroughs to deliver exceptional customer service. In addition to these responsibilities, you will collaborate closely with other team members to bolster our brand presence and coordinate company events. Being bilingual English-Spanish and detail-oriented is essential for this role, and we expect applicants to possess excellent interpersonal skills, along with a basic understanding of documentation processes and database management.

Responsibilities

• Schedule meetings, travel itineraries, and any other relevant appointments for broker
• Support the real estate office as needed with other assistant duties, such as picking up orders
• Liaise between the supervising broker and clients
• Answer phone calls, emails, and other requests and notify broker of necessary details
• Keep a balanced record of the broker's business transactions

Qualifications

• Experience using word processing programs, spreadsheets and Multiple Listing Service
• 2+ years experience as a personal assistant, office manager, or related position
• High school diploma or equivalent required
• Possesses discernment for working with confidential information and tight deadlines
• Experience in the real estate industry preferred
• Excellent communication skills and organizational skills
