This is a part-time position to be worked out of our Tucson, Arizona office (typical hours: Mon-Fri, 7:30am - 1:30pm).

Job Summary

The role of the Administrative Assistant will provide a wide range of administrative support, including clerical and administrative functions. This position demands proficiency in organizational skills, effective written and verbal communication. It relies on both experience and judgment to strategically plan and successfully achieve goals and meet deadlines. To be successful in this role, the ability to provide exceptional customer service is crucial, as it extends to clients, vendors, and fellow coworkers, ensuring strong collaborations, positive interactions, and overall workplace harmony.

Responsibilities

  • Answer, screen, and transfer phone calls.
  • Welcome and direct clients and vendors.
  • Maintain internal filing system.
  • Respond to and resolve administrative inquiries and questions.
  • Prepare written summaries of data when needed.
  • Coordinate travel, meetings, and company events.
  • Maintain office supplies and coordinate building maintenance.
  • Prepare communications to staff and vendors, such emails, letters, and other correspondence.
  • Runs errands when required (e.g., post office, bank, etc.)
  • Maintain a system for recording expenses and the use of petty cash.
  • Assist in supporting a variety of projects for other employees.
  • Performs other related duties as assigned.
Job Requirements
  • 3+ years administrative work experience is preferred
  • College or University degree in Business or related field is preferred
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent collaboration, organizational, and planning skills as well as attention to detail.
  • Ability to work independently.
