About the Role:

As the Practice Management Coordinator, you'll be essential in advancing our mission to deliver specialized care in Obesity medicine. Reporting to the Director of Practice Operations and working closely with the Practice Manager, you'll play a key role in managing administrative tasks, supporting credentialing operations, and enhancing both clinical and non-clinical functions. Based in our downtown Boston office, this hybrid role requires you to be onsite three days a week. The ideal candidate will thrive in a fast-paced environment, embrace change, and handle multiple tasks effectively to ensure smooth office operations and support our patient-centric mission.

Key responsibilities include:
  • Resolve concerns from providers, staff, and patients to create a positive, collaborative environment.
  • Manage provider profiles in Medallion, including creating, updating, and verifying credentials, licenses, and certifications to ensure compliance and accuracy throughout the credentialing process.
  • Manage daily schedule adjustments, including handling call-outs, vacations, and clinician changes. Optimize schedules to ensure smooth operations while overseeing staff time-off requests and clinical transitions.
  • Provide service to clinicians and vendors, addressing and resolving issues effectively.
  • Maintain records of Continuing Medical Education (CME) activities.
  • Deliver high-quality service to clinicians and vendors by effectively addressing and resolving issues.
  • Manage patient concerns and provide support for special projects and ad hoc tasks as needed.
We seek applicants who:
  • Associate's degree or higher preferred; 5+ years of relevant work experience and/or specialized training may substitute for the educational requirement.
  • Recent experience in a high-volume medical practice 30 + providers.
  • Proficiency in Google Suite (including Google Sheets) and/or Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with medical provider licensing and credentialing is required. Proficiency with Medallion, CAQH, and Mocinbird is highly preferred.
  • Knowledge of insurance and provider payer portals.
  • Understanding of CME requirements is a plus.
  • Basic knowledge of credentialing and licensing regulations.
  • Familiarity with scheduling technologies and best practices.
  • Excellent organizational, communication, and interpersonal skills, with demonstrated ability to manage multiple projects, prioritize tasks, and work independently
  • Strong problem-solving skills with a proactive approach to identifying and resolving issues.
  • Demonstrates a strong commitment to maintaining patient and staff confidentiality.
