The Practice Assistant II plays a vital role in the efficient functioning of the Urology Surgery department. Reporting to the Operations Supervisor of the Access Center, this position is integral to managing daily operations within the access team.
Key Responsibilities- Oversee the scheduling of new patient appointments for all physicians within the division.
- Handle incoming calls and messages related to the urology access center, ensuring professional and courteous communication.
- Maintain high-volume communication with patients, coordinators, and various departments, both internally and externally.
- Review and verify patient demographic and insurance information, ensuring accuracy and confidentiality.
- Facilitate the retrieval of patient records from external facilities in preparation for appointments.
- Ensure that all relevant patient data is available for physicians prior to consultations.
- Address patient inquiries and concerns promptly, following up as necessary.
- Perform general office duties including faxing, filing, and photocopying.
- Prepare and send new patient packets to scheduled patients and referring physicians, adhering to HIPAA guidelines.
- Collaborate with department staff to promote a smooth operational workflow.
Education: Minimum of a high school diploma or GED.
Experience: At least six months of relevant work experience is required. Additional training in office systems or post-secondary education is preferred.
Skills and Competencies- Familiarity with practice operations and standards.
- Proficient in office procedures such as filing, copying, and scanning.
- Effective communication skills, both verbal and written.
- Ability to manage multiple tasks and prioritize effectively.
- Basic understanding of medical terminology and insurance processes.
- Knowledge of compliance with hospital, state, and federal regulations.
This position is based in a hospital ambulatory practice setting, which may involve exposure to communicable diseases and other clinical environments.
Compliance and StandardsAdhere to all legal, regulatory, and ethical standards relevant to the role, ensuring compliance with established policies and procedures.
