Overview

The Executive Assistant will provide high-level administrative support to an executive, including managing their calendar, scheduling meetings, making travel arrangements, handling correspondence, preparing documents, and acting as a primary point of contact, often requiring strong organizational skills, excellent communication, and the ability to handle confidential information with discretion.

Responsibilities
  • Calendar Management: Scheduling meetings, appointments, and events on the executive's calendar, ensuring time management and prioritizing tasks. 
  • Travel Arrangements: Booking flights, hotels, and transportation for business trips. 
  • Correspondence Management: Answering phone calls, screening emails, and routing messages appropriately. 
  • Document Preparation: Drafting emails, memos, reports, presentations, and other documents as needed. 
  • Meeting Coordination: Setting up meeting agendas, preparing materials, and managing logistics. 
  • Expense Reporting: Processing and submitting expense reports. 
  • Office Management: Maintaining office supplies, managing administrative tasks, and coordinating with other departments. 
  • Confidentiality: Handling sensitive information with discretion
  • Coordinates and manages calendar, schedule and travel for executive(s)
  • Coordinates and manages team calendars including time off, travel and events
  • Prepares documents and presentation in Excel and PowerPoint for internal and external audiences
  • Prepares and sends employee communications, collaborating with Corporate Marketing as needed
  • Assist with operational aspects of the business such as pulling and collating reports from systems
  • Vendor management of all required systems, including all invoicing
  • Answers phone and takes messages as appropriate
  • Other projects as needed
Qualifications
  • Associates degree in Business or Office Management, bachelors preferred but not required
  • 4 + years’ experience as an assistant to executive(s)
  • Demonstrated ability to exercise absolute discretion and maintain confidential information
  • Exceptional attention to detail and follow through
  • Highly motivated and works well within a team as well as on own
  • Ability to multi- task and work in changing and fast paced environment
  • Demonstrated proficiency in MS office (Outlook, Word, PowerPoint, Excel)
  • Demonstrated problem-solving skills
  • Excellent organizational skills
  • Ability to work additional hours as needed
