ATCO STRUCTURES AND LOGISTICS (USA) INC. ("ASL-USA") is seeking an Administrative Assistant for our Office in Spring, TX. The Administrative assistant is responsible for performing general administrative and reception duties and tasks.

KEY ACCOUNTABILITIES/RESPONSIBILITIES
  • Answer phones; greet and direct visitors.
  • Maintain office supply inventory, place supply orders and review invoices for accuracy. Work with external vendors regarding office products and services.
  • Manage incoming and outgoing mail and package deliveries, distribute incoming mail and deliveries to appropriate personnel.
  • Liaise with building management to ensure compliance with building practices is followed and communicated with office personnel.
  • Manage the office security systems and office badge access, ensuring office security is maintained.
  • Prepare and distribute internal employee communications.
  • Arrange business travel as requested.
  • Perform data entry, and assist departments with general filing, as requested.
  • Review office invoices, perform office expense reconciliation.
  • Schedule/maintain office meeting schedules.
  • Prepare reports and presentations for the leadership team, as requested.
  • Coordinate and plan employee events and EPIC (Employees Participating In Activities) events
  • Process and route incoming vender checks for Accounting department.
  • Create purchase orders.
  • Help maintain kitchen and conference room cleanliness.
  • Refill coffee, coffee supplies and snacks as needed.
  • Assist with other administrative duties related to work orders, contractor services and vendor selections for services.
REQUIRED QUALIFICATIONS/EDUCATION/WORK EXPERIENCE
  • Three (3) years working in an office environment performing administrative duties.
  • Strong interpersonal skills and the ability to interface with multiple teams remotely.
  • Passion for problem solving and continuous improvement.
  • Ability to multi-task, prioritize and work on a variety of work assignments.
  • Intermediate knowledge of MS Office 365 programs including Excel, Word, PowerPoint, SharePoint. Ability to work independently and prioritize tasks.

  • Generally, the position is sedentary and will require the ability to sit for extended periods of time; use hands and fingers to type; provide verbal communication: 8-10 hours a day.
  • Ability to speak/hear and use specific vision abilities such as close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus: 8-10 hrs a day.
  • Frequent ability to reach with arms, grasp with hands and arms: 2-5 hrs a day.
  • Position may require occasional need to stoop, kneel, crouch, or crawl; climb or balance: 0-2 hrs a day.
