Job DescriptionThe Event Coordinator will be responsible for coordinating logistics for various events, executing both high-level external and internal events, managing vendor relationships, and ensuring the successful implementation of all event-related activities. This position requires excellent communication and coordination skills, a strong ability to multitask, and a passion for creating memorable experiences.

Essential Functions

  • Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.

  • Coordinate logistics for events, including venue selection, scheduling, catering, transportation, audio-visual requirements, onsite management, setup, cleanup and other event-related services.

  • Liaise with vendors, suppliers, and service providers to secure necessary resources and ensure seamless execution of events.

  • Oversee the event spaces, ensuring they are well-maintained, properly set up, and equipped with necessary supplies and equipment.

  • Coordinate and manage a variety of complex and diverse projects concurrently.

  • Practice professionalism and confidentiality when assisting various internal teams.

  • Perform related work as assigned by supervisor, including but not limited to other statewide event support.

  • Other duties as assigned.

Education/Experience/Knowledge/Skills

  • Associate's Degree in appropriate field from an accredited college or university, including or supplemented by appropriate continuing education courses. Bachelor's degree preferred.

  • Minimum of 1 year face-to-face customer service experience or 6 months of leadership (including clubs, organizations, athletics, military, etc.) and 6 months of customer service experience required.

  • Bilingual preferred.

  • Ability to anticipate conditions and plan ahead, establish priorities and meet schedules.

  • Excellent organizational and time management skills.

  • Excellent communication skills, both verbal and written.

  • Some technical and audio/visual experience is highly preferred.

  • Some budgeting and finance experience optional.

  • Ability to take direction and work effectively with team members in high stress times.

  • Ability to be a calming presence in the midst of high stress situations.

  • Must be able to work a non-traditional work schedule including some evenings and weekends.

  • This job description covers a position in which the percentage of time spent on the essential functions will vary based on the workload and will ultimately be determined by the supervisor.
