Key Responsibilities
Administrative Support
- Manage the President’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for the President.
- Handle incoming communications, including emails and phone calls, and determine their priority and appropriate response.
- Maintain confidentiality of sensitive information and ensure security of all communications and documents.
Meeting Coordination
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist in the preparation of materials and presentations for board meetings, client meetings, and other significant events.
- Ensure that the President is well-prepared for all meetings and engagements.
Project Management
- Assist the President with the planning and execution of special projects and initiatives.
- Coordinate cross-departmental activities to ensure projects are completed on time and within scope.
- Monitor project progress and provide updates to the President.
Client and Stakeholder Relations
- Serve as a point of contact for clients, partners, and stakeholders, ensuring prompt and professional communication.
- Assist in managing relationships with key clients and partners, including scheduling meetings and handling inquiries.
- Handle logistics for client visits and events, ensuring a positive experience.
Office Management
- Oversee the daily operations of the executive office, ensuring a smooth and efficient workflow.
- Manage office supplies and equipment, ensuring they are well-stocked and functional.
- Coordinate with IT and other departments to resolve any office-related issues.
Event Planning
- Plan and organize corporate events, such as conferences, meetings, and team-building activities.
- Coordinate logistics, including venue selection, catering, transportation, and accommodation.
- Ensure events are executed flawlessly and within budget.
Required Experience:
- A minimum of two years or more of experience working in an Executive Assistant role in a professional business office.
- Experience must include providing Administrative Support, Meeting Coordination, Office Management and Event Planning
- Highly professional verbal and written communication skills are essential
