Pan-American Life Insurance Group (PALIG) is seeking a Human Resources Assistant to join the Human Resources Department. Under the direction of the 2nd Vice President, U.S. Regional Human Resources, this position provides administrative support to the U.S. Human Resources team. The incumbent will perform a variety of administrative tasks related to all facets of the day-to-day operations of Human Resources.

This position is based out of our New Orleans, LA office and does require the incumbent to be on-campus four days per week.

ESSENTIAL FUNCTIONS:

Front Desk

  • Cover the front desk on the 10th floor in the New Orleans office Monday through Thursday every week
  • Provide back-up support for the Executive Administrative Assistant team on the 28th floor
  • Assist and greet all visitors to the Human Resources Department in a positive and professional manner
  • Direct visitors to the appropriate areas
  • Provide excellent customer service to all visitors
  • Answer and screen incoming telephone calls, determine purpose of calls, and forward calls to the appropriate Human Resources team member
Administrative Support to Human Resources Team
  • Provide administrative support for the Senior Vice President (SVP), Vice President (VP)/Deputy Global Officer, and 2nd Vice President (2VP) of Human Resources
  • Maintain adequate office supplies and order new supplies as necessary
  • Coordinate visitor/employee badge access and maintain database of all badges, and run employee in-office attendance reports on a monthly basis and/or ad hoc reports as needed
  • Assist all areas of Human Resources with data entry as required
  • Monitor expenses and credit card charges for SVP of Human Resources and record transactions into Concur system, and prepare Concur reports and send for approval
  • Monitor suspense accounts on a daily basis and initiate action with Human Resources team members to clear any reconciling items
  • Assist HR staff with document storage, filing, and other special projects
  • Assist with administrative tasks related to the United Way Day program, and holiday and other company hosted events
  • Sort and distribute incoming mail
  • Provide back-up support with scheduling pre-employment drug screens and background checks
  • Assist with scheduling interviews
  • Assist with invoicing/billing for Human Resources Department
  • Assist with benefits administration/open enrollment as needed
Calendar Management
  • Maintain Key Events calendar for Human Resources
  • Provide support in managing the calendars of the SVP and 2nd VP of Human Resources
  • Other duties as assigned
EDUCATION & EXPERIENCE:
  • 2 to 4 years of Administrative/Assistant experience required
  • Human Resources experience preferred
KNOWLEDGE, SKILLS & ABILITIES:
  • Bilingual (English/Spanish) skills a plus, but not required
  • Excellent customer service skills
  • Excellent MS Office Suite skills (Excel, PowerPoint, Word)
  • Good time management skills with the ability to handle multiple projects
  • Strong data entry skills
  • Strong written and verbal skills
  • Ability to maintain confidentiality and work with confidential documents
  • Ability to operate a keyboard if required to perform the essential functions of the job
  • Ability to read and interpret a document if required to perform the essential functions of the job
  • Ability to travel if required to perform the essential functions of the job
  • Ability to work in a team environment
  • Ability to work under stressful conditions and competing deadlines
