Job purpose:
We are seeking a highly organized and detail-oriented Research Administrative Assistant to support our research team in advancing innovative projects. This role is critical in facilitating participant recruitment, managing research data, and ensuring regulatory compliance with HIPAA and IRB guidelines. The Research Administrative Assistant coordinates study visits, assists with protocol-related tasks, and provides administrative support to the research team and Director of Research. Through effective communication, meticulous documentation, and seamless execution of administrative tasks, this position enhances the efficiency and success of research initiatives while integrating research activities within the clinical setting.

Duties and Responsibilities:
  • Responsible for contacting, recruiting and consenting participants into assigned research studies.
  • Responsible for transcribing, maintaining and auditing clinical & research data of participants into a secure database while adhering to HIPAA & IRB regulations
  • Trains and oversees delegated research personnel informed consent process.
  • Maintains communication with clinic staff to ensure consent process can be completed without interrupting workflow
  • Determines participant study visits and schedules clinic visits as per protocol.
  • Executes protocol related tasks and procedures as delegated by the Principal investigator, which may include and are not limited to obtaining informed consent as long as delegated procedures do not otherwise require clinical licensure.
  • Responsible for thorough documentation of all study related requirements and obtain data according to the need of each study.
  • Provides clear and concise documentation of source documents to support data.
  • Performs data entry into various programs supported by the Institute or Sponsors.
  • Reports all adverse events, unanticipated problems involving risks to subjects or others in compliance with protocol and federal regulatory requirements.
  • Works with clinic staff, phlebotomists, research team and other personnel who are instrumental during and upon completion of studies.
  • Communicates proactively with sponsors, patients, and other study staff.
  • Supports the Director of Research in identifying potential funding opportunities, including grants, philanthropic contributions, and other external funding sources, to support the expansion of research initiatives
  • Supports the Director of Research in administrative duties such as scheduling meetings, preparing slide decks, and other related duties as required
  • Other duties as assigned.
Qualifications:
  • Bachelor's degree in health sciences, life sciences, public health, or a related field preferred.
  • Previous experience in clinical research, healthcare administration, or a related field preferred.
  • Familiarity with HIPAA, IRB regulations, and clinical research protocols is a plus.
  • Excellent attention to detail and accuracy in data entry and documentation.
  • Effective verbal and written communication skills for interacting with research staff, participants, and sponsors.
  • Ability to work independently and collaboratively in a fast-paced research environment.
  • Strong problem-solving skills and adaptability to changing research needs.

The employee is required to walk between multiple office locations that include the use of stairs (elevator is only available in some instances).

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
