The Broad Institute of MIT and Harvard seeks a highly detailed and driven Operations Specialist for MPG (Medical and Population Genetics) and TGG (Translational Genomics Group). The candidate must have the ability to work in a fast paced environment and manage multiple and shifting priorities.

To identify and establish the role of genetic causes and risk factors for disease, through multidisciplinary collaboration and development of state-of-the-art experimental and analytical techniques, with the goal of improving patient treatments and outcomes.

Community of 16 institute members; 95 Associate/Affiliate faculty; 647 community members. Expertise from population and rare disease genetics, statistics, molecular biology, genomics and bioinformatics. Areas of disease focus include cardiovascular, metabolic, psychiatric and neurodegenerative disease.
We are looking for a dependable, organized, and detail-oriented individual with strong time management skills. The individual must have a proven ability to work independently; with previous experience in operations and managing events. The candidate will own all tasks/projects in support of day-to-day operations and provide advanced project management assistance for core projects within both MPG and TGG in order to ensure successful operations in a fast paced and dynamic environment, which spans multiple institutions and international collaborations.
Position Overview This individual will be responsible for all project and operational support for the Medical and Population Genetics (MPG) Seminar Series by organizing team meetings and prioritizing day-to-day activity according to core projects. Along with all communication to the MPG community, this role includes, but is not limited to, coordinating with speakers to prepare for a seamless session, managing hybrid calendar events, scheduling weekly email/slack reminders, arranging catering, setting up venues, arranging AV for speakers/attendees, managing email lists/inboxes and the affiliate population, booking travel, processing expenses, and coordinating host lunch/dinners.
We are looking for someone to help with communication, outreach and engagements, like the annual MPG Retreat, and take the lead as the affiliate coordinator for all of MPG. This person will respond to routine correspondence under their own signature. This individual is also responsible for creating and maintaining the MPG Administrative and IDF budgets. This includes ensuring adherence to timeline and budget for core projects throughout each fiscal year

MPG and TGG have at least eight large events per calendar year (MPG Scientific Retreat, MPG Holiday Party, MPG Kick Off, TGG Quarterly Connect Days and TGG Holiday Party) and this individual will be responsible for owning the creation and maintenance of operational plans for these core projects and track project spend which includes reviewing service quotes for the group and audits for discrepancies (for both events and software contracts such as Alamut, Airtable and HGMD, for example).
Within the Translational Genomics Group (TGG), this individual will support the gnomAD operations team, including supporting the gnomAD operations manager, facilitating regulatory documentation for gnomAD, managing organization of email distribution lists, compliance, grant administrative processes and maintaining outward-facing web pages, including associated files.
This position will have at least one direct report with the expectation of providing ongoing support to team member(s), and offer professional development and mentoring guidance. The Program Manager is responsible for creating standard operating procedures for both MPG and TGG with ongoing assistance of TGG's Administrative Assistant. This includes providing periodic updates on status and action items for core projects and intervenes when projects are at risk.
In summary, this individual will provide operational guidance for both MPG and TGG as a whole. We are looking for someone to implement new SOPs for both groups and then delegate to their staff for seamless execution (for TGG).
Specific responsibilities include:
- Create, manage and maintain MPG Admin and IDF Funds.
- Support MPG Steering Committee in conjunction with the MPG co-directors.
- Website support, managing staff onboarding/offboarding/affiliations, grant assembly, figure creation, references, formatting, etc across multiple teams.
- Takes the lead role in coordinating, planning, and execution of any team events and meetings.
- Help recruit, build, grow, coach, and mentor an administrative assistant(s), directly managing at least one individual.
- Create and maintain standard operating procedures for both MPG and TGG.
- Provide project and operational support for MPG Primer and Program meetings.
- Act as a primary contact between Broad group leaders, staff, and external collaborators.
- Perform operation assistance for gnomAD operations when requested.
Minimum Requirements:
- Requires a bachelor's degree with 3+ years of related experience - with at least 1 year of experience in operations.
- Excellent organization and time management skills required.
- Must be able to use sound judgment to solve a variety of issues.
- Previous experience in events or operations is preferred.
- Highly detail-oriented.
- Must possess a high level of initiative.
