The Office Manager position is primary responsibilities are Office, IT, and Marketing Administrator. Also, welcomes guests and customers by greeting them, in person or on the phone, answering or directing inquiries. This is a Part Time to Full Time position to work 2-3 days per week. Hopefully, as we grow the position moves to full time close to the last quarter of the year.

This position will work out of our NEW West Plam Beach, FL location.

Franjo Builders is an affiliate of Franjo Construction. Franjo Builders' legacy begins in 1980 with the incorporation of GSD Contracting in Fort Lauderdale, FL. The team built a solid foundation and was recognized by The South Florida Business Journal as one of the top 25 commercial contractors in the market. This all lead to the ultimate acquisition of GSD, now known as Franjo Builders.

A major contributor to the development of South Florida, Franjo Builders offers general contracting services in all commercial markets. Franjo Builders' decades of expertise allow us to guide clients through the planning and construction of ground-up, renovation, and restoration projects.

Office Administration:
  • Answer/screen all office telephone calls and coordinate conference calls when
  • Compose and type routine correspondence. Such as holiday office closure, employees' birthdays and anniversaries,
  • Manage Executive's agenda including coordinating meetings and telephone calls, prioritizing schedule according to the Executive's preferences and business requirements, preparing agendas, preparing/reserving facilities and recording, transcribing, and publishing meeting minutes, coordinate attendance at conferences and at social events, manage dinner/lunch reservations.
  • Plans and organizes all executive and/or office
  • Prepare conference room with all the supplies and beverages for all
  • Coordinate travels: coordinate domestic and international travels. Prepare expense reports for accounting as applicable.
  • Process all mail, and respective
  • Updating and filling of all office and overhead related documents, contracts,
  • Responsible for keeping vendors database up to date, including insurances and other company requirements.
  • Assist Operations Department with Waivers/Releases/SSOA as
  • Understand company insurance
  • Purchase office supplies as
  • Order and maintain a stock of company's logo
  • Maintains a clean office
  • Maintain and protect operations by keeping information
  • Earn and maintain Notary Public status.
  • Manage company office service providers.
  • Plan and coordinate company events, monthly office lunches, quarterly job site lunches, Superintendent's meetings, etc.
  • Keeping up with renewals for company business licenses, permitting, etc.
New Hires
  • Reports and coordinates with HR
  • Responsible for coordinating access to company databases and
  • Responsible for setting up system apps on employee's computers, tablets, and
  • Responsible for requesting emails for new
  • Responsible for ordering business cards as
  • Responsible for having everything ready for a new employee's first day.
  • Coordinate new hire lunches and first day drug screens.
  • Responsible to assist team with employee offboarding.

IT Responsibilities

  • Assist and support for incoming queries and issues related to computer systems, software, and
  • Create presentations using PowerPoint or other Microsoft Office products, in support of executive meetings and presentations.
  • Responsible for ordering, maintaining, and setting up laptops, iPhones, and
  • Provide continuous training to all employees on company
  • Collect and submit relevant social media content weekly to help develop online branding presence to Marketing.
  • Encourage the entire company to share marketing material on their networks when applicable.
  • Keep naming and filing system per company guidelines and standards.
  • Management of company Sunpass and jobsite internet access.
  • Will be required to prepare orders for the company's branding materials.
  • Keep the site updated with new projects, new hires, and provide information on important events and meetings where the company
  • Manage monthly reconciliation of company credit card statements.
  • Update and maintain company contact information.
  • Attending all required meetings as requested by Management to take notes of important issues or concerns. Issue meeting minutes by no later than the following day to all present.

Your success story:

  • Bachelor's degree in Accounting/ Finance or Five years of relevant experience in lieu of education
  • Computer Skills: proficient in MS office, required
  • Accounting and Estimating software experience, required
