To continue on this trajectory, we’re searching for a highly qualified Executive Assistant to report directly to our Executive Vice President and work closely with our executive team . From day one, the Executive Assistant will have an immediate impact on our productivity by communicating objectives between departments. The ideal candidate will possess exceptional organizational skills, social dynamism, and emotional resilience to thrive in a fast-paced environment. This role requires someone who can anticipate needs, handle confidential information with discretion, and maintain a high level of professionalism at all times. Objectives and Responsibilities: Provide sophisticated scheduling and calendar management for leadership. Anticipate needs and prioritize inquiries and requests while troubleshooting conflicts; delegating tasks and completing follow-up actions as necessary. Complete a broad variety of administrative tasks that facilitate our EVP’s ability to operate and lead effectively, including making domestic and international travel arrangements; processing expense reports and invoices; supporting budget management; collecting and preparing information for meetings; designing and producing documents, reports, and presentations with compliance to company policies and while practicing confidentiality and discretion. Organize, support, and manage the setup of a variety of meeting types involving in-person and virtual attendees, including venues, electronic equipment and video conference platforms, transportation, catering/vendor management, and meeting notes transcription. Exercise excellent judgment and discretion with highly confidential information, and exhibit considerable tact, reasoning skills, and subtlety. Communicate effectively with company associates and business contacts. Act as a connection to resolve issues related to administrative matters. Support, execute, and serve as the liaison for occasional personal tasks, including external involvement of the leaders in conferences and other outside work. Act as the primary point of contact for internal and external communications on behalf of the executive team, screening and prioritizing inquiries as needed. Skills and Qualifications: Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines. The capability to respond to changing situations and reprioritize work as necessary. Ability to exercise discretion and confidentiality when handling sensitive information and executive communications. Excellent communication skills, both written and verbal, with a professional and courteous demeanor. Strong problem-solving skills and attention to detail. Ability to exercise judgment within general defined practices and policies in identifying problems and determining solutions. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications (Concur, Travel Booking Websites, etc.). 8+ years’ experience as an executive administrative assistant or senior executive assistant, preferably supporting the C-suite level. Personal attributes: Impeccable attention to detail, always striving to produce the best quality work. Strong strategic planning acumen coupled with astute problem-solving capabilities. Flexible, reliable, and proactive; willing to go above and beyond. Curious and confident to ask questions and learn quickly. Highly collaborative and customer-focused.
